Refund Policy

1. Overview
Aavatar values every client relationship and aims to deliver high-quality results. We have structured our refund policy to be fair to both parties while acknowledging the nature of custom digital services and software subscriptions.
2. Custom Development Projects
2.1 Project Deposit
All custom development projects (websites, web apps, mobile apps, AI solutions) require an advance deposit, typically 50% of the agreed project value. This deposit is non-refundable once work has commenced, as it covers the design, planning, and initial development effort already invested.
2.2 Milestone-Based Payments
For larger projects with milestone-based billing, payments made for individual milestones are non-refundable once that milestone has been approved (explicitly or implicitly through continued engagement).
2.3 Final Payment
The final balance is due upon project handover. Once the deliverables have been transferred to the Client, it is considered accepted and no refund is applicable.
2.4 Cancellation Before Commencement
If a project is cancelled by the Client before any work has commenced, a full refund of the deposit will be issued within 7 business days.
3. Aavatar School — SaaS Subscription
3.1 Free Trial
Aavatar School offers a free trial period before subscription commitment. We encourage all institutions to thoroughly evaluate the platform during the trial. Subscribing after the trial indicates acceptance of the service.
3.2 Annual / Quarterly Subscriptions
Subscription fees are billed in advance for the chosen billing period. Refunds for the unused portion of a subscription period are not provided if a cancellation is made mid-term, except in the following circumstances:
- The platform experiences a critical failure that remains unresolved for more than 7 consecutive business days despite our support team's efforts
- A significant feature promised at the time of subscription is not delivered within 30 days of the committed date
3.3 Refund Process for SaaS
Eligible refunds will be processed within 10 business days to the original payment method. Approved refund amounts will be prorated for the remaining unused period.
4. How to Request a Refund
To request a refund, please email us at info@aavatar.in with the subject line "Refund Request – [Your Project/Invoice ID]", along with a brief explanation of the reason. We will respond within 3 business days.
5. Disputes
If you are dissatisfied with our service, we encourage you to contact us first. Most issues can be resolved promptly. We are committed to fair resolution and will work with you in good faith before any formal dispute escalation is needed.
